Be Safe When Using Video Conferencing

Video conferencing is a great tool that can bring people together and further your business. It’s always wise, though, to think through your safety procedures before and during your session. Here are some helpful tips:

Privacy and Security: The Set Up

  • Make sure the third-party video call platform you’re using is one that is reputable and known for its security
    • Do research to compare platforms before deciding on one.
  • Make sure you’re using a secure network. Don’t use public Wi-Fi, and make sure your own Wi-Fi is password protected.
  • Review the privacy settings in the video software you’re using:
    • Require a password or meeting access code or ID to join.
    • You, as the host, should approve all attendees before they enter the call.

Privacy and Security: During the Meeting

  • Close any windows on your computer that are private before the meeting, in case you will be screen sharing (or accidentally start screen sharing) during the video call.
  • When the meeting is over, make sure you actually officially end the meeting to stop the recording.
  • Consider covering your computer’s camera whenever you’re not using it for video calls.

VPN

  • If you’re using a remote desktop session over a VPN, or virtual private network, to remotely access your office desktop, keep in mind that your video conference software will be trying to access that desktop’s audio and video.
  • If sharing your home-based computer’s microphone and webcam, be sure to connect to the web conference software outside of a remote desktop session.
  • Communicate remote desktop logistics to attendees prior to the meeting.

Keeping these rules in mind can help you run a safe, successful meeting that will assist your clients and your business.
